## 5 Step Workflow
1. Capture
2. Clarify
3. Organize
4. Reflect
5. Engage
### Capture
- Capture everything that i might want to do, should do, could do, **HAVE** to do
- Your brain is not meant to hold onto to-dos and whatnot
- Everything in your brain has something connected to the system
- If it doesn't get captured, the system fails
- Hence the creation of the **Inbox**
- you can have multiple inboxes
- not too many or the system fails
- So for me:
- **Raindrop**
- Bookmarks
- **Nirvana** (?)
- Everything else?
- A physical and digital inbox
- Maybe I should get a paper tray
### Clarify
- What is the thing I've put in my inbox?
- If it's a task:
- Clarify it
- Ex: reach out to steven - WRONG
- Ex: reach out to steven about paying bill - RIGHT
- Ask: Is it actionable?
- If no
- Discard
- or Archive
- Put it on Hold
- If yes
- If you can do it now:
- Do it right away
- Delegate it
- If I can't do anything about it myself, give it to someone else
- If you *can't* do it now:
- Postpone it
### Organize
- Keep everything in the right place so you don't lose it
#### Archive
- Reference Folder
- [[Obsidian Knowledge Base]] and Raindrop
- [[Obsidian Knowledge Base]]
- docs and files and notes and stuff
- Raindrop
- Bookmarks of things that I can peruse when I'm free
#### On Hold
Someday / Maybe List
- For things that I will get to eventually
- The Media backlog
- Places to go
- Things to try
- Creative projects
- Should probably be done in Nirvana
#### Delegating
Waiting for List
- things i'm waiting for but am not personally responsible about
- Ex: sent something to the post office and want to keep track of it
- Packages
- People I'm waiting to hear from
- Things I've lent to people
#### Postponed
If on a specific time or day, or a deadline:
- Calendar
- Flowsavvy
- Move OUT of the todolist because that gives it urgency
- Kind of already doing this with Superlist, so just swap it out with Nirvana
As soon as possible:
- Next Actions List
- The **main** to-do list
- Divide it by context
- Ex: list for stuff on computer, things on your phone, office, home, etc.
- Location
If it has several steps:
- Projects List
- Something that needs more than one task
- Completed in slightly less than a year
- Separated by Projects
- go full ADHD and put in EVERY step
- Separate from Next Actions because Next Actions should be stuff you *can do right now*
- Ex:
- hang grandma's painting - PROJECT
- Get the screws - NEXT ACTION
- Get screwdriver - NEXT ACTION
- Can Nirvana tag back to projects??
### Reflection
Daily:
1. Go through Calendar
2. Go through Next Actions list
Schedule in Flowsavvy
Weekly:
- Weekly Review
- Empty all inboxes
- Update calendar
- Past & Present
- Go through Projects List
- Make sure they all have next actions
- Waiting for List
- Check Someday/Maybe List and move to next actions / projects instead
- Brainstorm actions
- Trigger List
- Areas of life that need action
- Agreements?
- Interactions?
- Events?
- New to-dos?
- Distractions?
- New ideas?
- Don't skip this!
### Engage
Just use the system man.
