![](./attachments/Newsletter%202026-06%20(11%20June%202026)-1781310340840.webp) # 😀 🙌 We're open to visitors! 🙌 😀 Hi everyone We apologise for the length of this email, but it covers a number of important matters, so please read it right though.  ## **Visitor access to the Space** Many thanks for your continued understanding in response to our closure and phased reopening. The Hackerspace Committee is committed to continuous improvement in our governance processes, and we need to make some changes to non-member visits to the Space. From today, non-member visits are now possible, but will require supervision and sponsorship from a member, and details of the visitor must be provided to the Committee via sign-in sheet. This includes any programmes or groups using the Space. Please also be aware that members cannot grant access to the space to non-sponsored visitors  - for example, by letting someone in or leaving the site open for a visitor to enter unsupervised. _This applies in all circumstances._ These measures are in place to ensure the safety of everyone who uses the site, and we appreciate your cooperation in upholding them. This complements our current policy of not allowing members to allow their access card to be used by any other person.  In accepting supervision responsibilities over a visitor, you are responsible to the Committee for their behaviour in the Space.  If visitors are not comfortable with the sign-in process, we understand this, but will not be able to allow the visit to ensure everyone's safety. Should you have any concerns, please contact to the Committee at [[email protected]](mailto:[email protected]) --- ## **Member Contact Details** We are updating our records to ensure we have current contact details for all members. This is essential for keeping you informed about important notices, urgent site communications, and events. Please ensure the Committee has the following on file for you:  - a current email address you check regularly,  - a current phone number (mobile preferred), and; - an emergency contact name and number. Please update your details by [emailing the Committee](mailto:[email protected]?subject=My%20member%20details) or by [updating your details on TidyHQ](https://hobarthackerspace.tidyhq.com/). Members whose details cannot be confirmed may have their access arrangements reviewed. --- ## **Personal Safety** The safety of all members and visitors is the Committee's top priority. Please keep the following in mind when using the site: - Take note of signage in and around the building, including that of expelled members. - Familiarise yourself with the location of first aid kits (inside the back door) and fire extinguishers.  - Report any hazards, damaged equipment, or safety concerns to the Committee promptly.  - Wear appropriate Personal Protection Equipment (PPE) for the task at hand, and do not attempt to use equipment you aren’t confident with.  - If you are ever unsure about the safety of an activity or piece of equipment, stop and check before proceeding. It's always better to ask. --- ## **Borrowing Tools — Duration Policy** To ensure tools and equipment are available for all members, the following policy applies:  - Tools may be borrowed for a maximum of two weeks at a time after confirmation by a Committee member.  - Extensions may be requested from the Committee subject to availability.  - All borrowing must be recorded in the sign-out register with your name and the date borrowed.  - Tools must be returned in the same condition in which they were borrowed - Please report any damage or faults immediately. Members with outstanding long-term loans are asked to return tools as soon as possible or contact [the Committee](mailto:[email protected]) to make arrangements.  --- ## **Clear-Out Notice** The Committee will be conducting a site clear-out in the coming weeks. Items not clearly identified as belonging to a member, or that have been present for an extended period without use, may be removed, donated or disposed of. If you have items stored at the site, please label them clearly with your name and date, remove anything you no longer need, and contact the Committee if you need more time or are unsure about an item.  A specific date will be communicated via this mailing list shortly. --- ## **FOBI Suggestions and assistance**  The Festival of Bright Ideas (FOBI) will be on the 14th and 15th of August this year and the Hobart Hackerspace is planning on having a presence!  If you have a project that you think deserves to be in the spotlight (and can survive the public), or if you wish to help this year, speak to our FOBI coordinator TOM about where your skills can be applied. --- ## **Annual General Meeting — 1****8th July 11:00am at the Space** The Hobart Hackerspace AGM is approaching, and we encourage all financial members to attend then stay on for a BBQ. Members will receive reports on the past year's activities and finances, elect the incoming Committee, vote on any constitutional amendments or special resolutions, and raise matters for general business. Please see below from the Constitution: - (5) The ordinary business of an annual general meeting is to be as follows:  - (a) to confirm the minutes of the last preceding annual general meeting and of any general meeting held since that meeting; - (b) to receive from the committee, auditor, employees and other persons acting on behalf of the Association reports on the transactions of the Association during the last preceding financial year of the Association; - (c) to elect the officers of the Association and the ordinary committee members; - (d) to appoint the auditor and determine his or her remuneration; - (e) to determine the remuneration of employees and other persons acting on behalf of the Association. - (6) An annual general meeting may transact business of which notice is given in accordance with rule 15. This AGM will deal with standard ordinary business of an AGM. If you are interested in nominating for a Committee position, please [contact the Committee](mailto:[email protected]) ahead of the meeting. --- ## **Getting Involved with The Committee**  The Hackerspace is entirely run by volunteers, and the Committee always welcomes members who want to get more involved.  The Committee handles matters like governance and management of the association.  As well, we need people to help with events or maintenance roles.
