Task management is the process of prioritizing daily work. It is a combination of responding to items on a to-do list in terms of urgency and filtering them in terms of relevancy.
## Triage
Triage is the art of prioritizing items on the work list. This actually comes naturally but worth being specific about to hone the [[craft]]. Triage is especially important to think about when in a management role and tasks are being assigned.
1. Emergency
- Real-world, direct or indirect life or physically threatening consequences if not done **right this minute**.
- Loved one in trouble
- Fire at the job-site
- Personal illness
- These may stop the normal pace of work for up to a few days.
- Note that **rest** can fall into this category.
- Note that an email from someone demanding your immediate attention does not fall into this category.
- Emergency tasks are almost always created as they occur.
1. Immediate
- Direct or indirect threat to active project or emotional well-being of a person within an Area of Responsibility. Should be addressed **today**.
- Anything blocking the normal pace of productivity
- Surprise deadline, omitted information discovered
- Anything that could become an emergency if not addressed.
- Project dependencies other team members rely on
- These may stop the normal pace of work for a half to a full day.
- Note that an email from someone demanding your immediate attention does not necessarily fall into this category.
2. Scheduled
- Tasks falling under the projects initial planning outline.
- Must be completed to advance the project.
- Must be completed to advance a different project in a different Area.
- Can be pushed back up until they threaten to become Immediate.
- These fall under the normal pace of work.
- Note that an email from someone demanding your immediate attention does not fall into this category (because it's not scheduled).
3. Any-time
- Regular tasks that fall under Area management but don't have a specific deadline.
- Still need to be done in a timely fashion
- Ideally completed before becoming a priority
- Tasks that are part of a longer arc toward creating better efficiencies or capacities for new projects
- Usually "nice-to-have" things or part of passion projects
- Still important to do in order to promote enthusiasm for work.
- These tasks do not have a pace.
- Note that an email from someone demanding your immediate attention only falls into this category by default.
A work week consists primarily of Scheduled tasks with slots set aside for Any-time tasks. However, time must be built into the schedule to account for Immediate tasks. Emergencies are rare and stop all work. They do not need to planned for, because that is the nature of an emergency.
## Filtering
For busy days or projects requiring focus, it is helpful to filter out the [[to-do list]] so it is situationally relevant. [[TimeCrafting]] is a means of creating heuristics that help maintain cognitive momentum throughout the course of the work day. This uses concepts such as themes and modes to ensure scheduled and anytime tasks are matched to the work environment and tool set for the day.
